The Role:
Reporting to both the Human Resources and Finance departments, the Payroll Accountant is at the heart of keeping things running smoothly—ensuring payroll is accurate, on time, and fully compliant, while also supporting the integrity and performance of our fundraising data systems. This role takes ownership of the full-cycle, bi-weekly payroll process for all employees, making sure every detail is spot-on and every pay run is delivered seamlessly. At the same time, you’ll play a key role in maintaining and enhancing an integrated database system—supporting the collection, organization, and use of vital donor information, electronic records, and program data. With a focus on continuous improvement, you’ll help design and implement smarter processes that strengthen data accuracy, streamline workflows, and elevate reporting capabilities across the organization.

What You’ll Do:
  • Payroll Processing & Administration: Keep payroll running like clockwork—accurately process bi-weekly payroll, update records (timesheets, benefits, deductions), and issue ROEs with care and precision.
  • Compliance & Reporting: Be the go-to expert for payroll compliance—prepare and submit filings (T4s, WSIB, EHT, pensions, and more) while staying on top of ever-evolving legislation.
  • Reconciliation & Financial Support: Bring the numbers to life—reconcile payroll and pension accounts, prepare journal entries and accruals, support month- and year-end, and support audits, budgeting, and forecasting with confidence.
  • Donation processing & reconciliation: Be a key collaborator with Fundraising – record, process and reconcile various donation types and process tax receipts – maintain strong communication between two departments 
  • Systems, Projects & Continuous Improvement: Help shape the future of payroll—lead system updates, drive process improvements, and support projects that make everything smoother, smarter, and more efficient.
  • Employee Support & Collaboration: Be a trusted resource—answer payroll questions, provide training, partner with HR on benefits and time-off tracking, and work closely with Accounts Payable to keep things moving seamlessly.
  • Additional Responsibilities: Keep the wheels moving—support compensation cycles, track employee eligibility (vacation, pension, benefits), assist with HR system updates, and safeguard sensitive information with the utmost confidentiality.

  • Post-secondary education in Business, Accounting, Human Resources, or a related field
  • A Payroll Compliance Practitioner (PCP), or CHRP (or working towards) is a welcome bonus!
  • 2-4 years of hands-on payroll experience using a payroll system (ADP WFN or UKG preferred)
  • 1-2 years of experience in Accounting, including accounts receivable and revenue functions
  • Strong Excel skills, including building complex spreadsheets and pivot tables
  • Experience with Raiser’s Edge (Blackbaud) is a definite asset
  • Familiarity with charitable tax receipting, not-for-profit fundraising, and CRA guidelines

Compensation:

Salary Range: $65,000 - 67,000 annually, commensurate with experience and aligned with internal equity.
